Registration for stand space:
By sending a completed registration form to the organizers, applicants declare that they are in agreement with the following conditions for participation in the International Horti Fair, contained in the Regulations for Participation, the General Conditions and the 2013 Horti Fair Exhibitors’ Manual for exhibitors.
Registration confers no right to specification of stand space.
The organizers are entitled not to process a registration form, to specify less or more stand space than has been applied for (to a maximum of 10% of the number of square meters applied for), to decide to change stand space already specified, the square meters allocated, and the location and type of stand, or to withdraw a specification already allocated, without the participant being able to claim compensation for any loss whatsoever.
The organizers reserve the right at all times to change stand locations.
The information requested on the registration form must be given in full. The organizers are entitled to refuse products and services not registered, or which are not considered admissible on the grounds of the Regulations for Participation, the General Conditions and the relevant passages from the 2013 Horti Fair Exhibitors’ Manual, without being obliged to provide any compensation for this. Such products and services will be removed immediately from the International Horti Fair at the participant’s expense.
The organizers reserve the right at all times to change the dates of the exhibition, or to cancel the exhibition, without the participant being able to claim compensation for any loss whatsoever. A registration cannot be withdrawn or altered unilaterally by the participant. The organizers may consent to a request for cancellation of the registration on condition that the participant involved pays a cancellation fee. This fee will amount to at least the following charges:
Registration fee is always payable;
- 25% of the stand rent in the event of cancellation before receipt of the invoice;
- 50% of the stand rent after the invoice has been sent and/or the participant has been informed of the specification of the stand area;
- 75% of the stand rent on cancellation less than 2 months before the first building day for the International Horti Fair;
- 100% of the stand rent on cancellation less than 30 days before the first building day for the International Horti Fair.
Stand rent and conditions of payment:
Use of stand space is personal and restricted to the duration of the exhibition. Subletting or use by third parties is forbidden without explicit permission in writing from the organizers. The offer of articles for sale only takes place in accordance with the guidelines of the International Horti Fair. Animals are not allowed and the availability of dangerous and bothersome substances is forbidden. The participant undertakes to comply immediately and fully on the first request, with all instructions from the organizers regarding the stand, the stand area, the use of the stand and the layout of the stand. The exhibition area is available for building and equipping stands, for bringing in goods and for dismantling and clearing stands, on the hours and days specified in the 2013 Horti Fair Exhibitors’ Manual.
Different building and dismantling times apply to a section of the exhibition area. The participant/exhibitor must find out whether these different times for building and dismantling apply to the stand allocated to him.
If the participant/exhibitor does not complete dismantling within the days and hours specified for this purpose, then dismantling will be arranged by the organizers at the expense of the participant/exhibitor.
The distribution of free advertising and informative material can only be done from the stand itself. It is forbidden to offer this to visitors in any other area or to display it elsewhere. Payment of the stand rent, plus the VAT owing, must be made within two weeks of the invoice date. The registration fee of €350.00 excl. VAT must be paid immediately after registration. Stand space will not be allocated until the registration fee has been received.
In the event of registration after 15 May 2013, the amount owing must be paid immediately after the allocation of a stand site.
In the event of failure to pay the invoice in time, the participant/exhibitor shall be considered to have requested the organizers to cancel the registration on the basis of the regulations for cancellation included in the General Conditions.
If the participant does not meet his obligation to pay on time, he shall be considered to be in default by operation of law, without separate notice of default being required. In such case, the organizers are entitled to charge interest of 1.5% per month with effect from the date of the commencement of the participant’s failure to meet his obligations to pay. If payment has to be obtained through the services of third parties, the costs arising from this will be charged to the participant. In this event, the participant in default shall owe a directly payable sum equal to 15% of the amount of the invoice to a minimum of € 350.00 for the costs resulting from his default, notwithstanding any costs of litigation.
Goods are in the exhibition building or on the relevant sites at the expense and risk of the participant. The organizers do not take responsibility for insuring the goods. As a consequence, the organizers are not liable for loss from any cause whatsoever sustained by goods or persons as a result of or in connection with participation in the International Horti Fair. Neither are the organizers liable for loss suffered by third parties, which was caused by the participant, or by the use of the stand by the participant or his personnel. The participant shall indemnify the organizers for all claims from third parties in this respect.
The participant must insure himself for all liability and is obliged to show the policy and proof of payment on the request of the organization. The participant shall hold the organizers harmless against all rights which the participant and others might be entitled to assert in this connection.
In the event of violation of or failure to comply with the stipulations in the Regulations for Participation, the General Conditions and/or the 2013 Horti Fair Exhibitors’ Manual, and/or in the event of violation of or failure to comply with instructions issued by or on behalf of the organizers, the said organizers are entitled to take one or more measures at the expense of the contravening participant (including exclusion from further participation), without notice of liability or judicial intervention, and without the participant being able to assert a right to any restitution or indemnification for loss whatsoever.
